Role responsibilities Calendar Management Manage the calendar of CAO Head of Front Office Support by keeping it current at all times Proactively engage the CAO / Business Manager to ensure meetings are setup. Travel /Expense Management Travel and hotel bookings, visa documentations, car hire, etc. for CAO / N-1 travelling within/outside India. Raise expense claim requests as per mandated timelines and work with internal teams to ensure the claims are settled in a timely manner Visitor Management Block Cabins / Meeting Rooms for visitors schedule meetings by working with other EAs. Proactively engage Business Managers to ensure that the calendar invites reconcile the agenda planned. Ensure the meetings are run as per plan reaching out to invitees to remind them of their upcoming meetings, guiding them to the respective rooms. Work with admin in managing the Lunch/Dinner for the visitors. Townhall Management Organize events (staff welfare, townhalls, events) both locally and offsite. Arrangements include arranging for beverages, refreshments, snacks, etc. Others Ensure efficient and smooth functioning of the office. Receive incoming documents (memos, invoices, etc.) to organize in a filing system Arrange couriers/pick-ups for the outgoing documents.
