Job Description
We are seeking a highly organized, proactive, and professional Executive Assistant to support our Managing Director (MD) in all aspects of daily operations. The ideal candidate will have a strong background in administrative support, exceptional communication skills, and the ability to manage multiple priorities in a fast-paced environment. Experience in the rubber industry is preferred but not mandatory.
Key Responsibilities
Administrative Support
Manage the MDs calendar, schedule appointments, and coordinate meetings.
Prepare and edit correspondence, communications, presentations, and other documents.
Handle incoming and outgoing communications on behalf of the MD.
Organize and maintain the MDs office and electronic files.
Project Management
Assist in the planning and execution of company projects and initiatives.
Track project progress and provide regular updates to the MD.
Coordinate with various departments to ensure timely completion of tasks.
Meeting Coordination
Arrange and coordinate internal and external meetings, including logistics, agendas, and minutes.
Attend meetings with or on behalf of the MD, taking notes and ensuring follow-up on action items.
Travel Arrangements
Organize and manage travel itineraries, accommodations, and transportation for the MD.
Prepare travel expense reports and ensure timely reimbursement.
Communication Liaison
Handle sensitive and confidential information with the utmost discretion and professionalism.
Maintain a high level of confidentiality in all interactions.
Support to the Leadership Team
Provide administrative support to other members of the leadership team as needed.
Assist with the preparation of reports, presentations, and other documents for board meetings and senior management.
Qualifications
Bachelor s degree in Business Administration, Management, or a related field.
Minimum of 5 years of experience as an Executive Assistant, preferably in the rubber industry or manufacturing sector.
Exceptional organizational and time management skills.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to work independently and as part of a team.
High level of professionalism and attention to detail.
Ability to handle multiple tasks and priorities in a fast-paced environment.
Working Conditions
Full-time position
Occasional travel may be required.
